How to add Gemini to Google WorkSpace

Here’s the step-by-step manual in English so you (or your school’s Google Workspace admin) can enable Gemini in Google Classroom.

✅ PRE-REQUISITES

  • You must be an administrator (preferably super admin) of the Google Workspace for Education domain.
  • Make sure you know your Organizational Units (OUs) (e.g. Teachers vs. Students) so you can enable Gemini only where needed.
  • Some features require users to be set as 18+ in age-based access settings.

🛠️ STEP-BY-STEP (Admin console)

1) Sign in

  1. Go to admin.google.com.
  2. Sign in with your admin account.

2) Set Age-based Access

  1. In the Admin Console, go to:
    Account > Account settings > Age-based access.
  2. For the OU Teachers, set users as 18 or older.
  3. Save. (If not set, Gemini features will stay restricted).

3) Enable Workspace Smart Features

  1. From the menu, go to Smart features & personalization.
  2. Turn on Workspace smart features for the OU (Teachers).
  3. This allows Gemini to work in Docs/Drive/Classroom.

4) Turn on the Gemini app

  1. Go to: Apps > Generative AI > Gemini app.
  2. Select the Teachers OU.
  3. Switch to ON for everyone in this OU.
  4. Save.

5) Allow “Google apps in Gemini”

  1. In Admin Console: Apps > Google Workspace apps.
  2. Open Turn Google apps in Gemini on or off.
  3. Enable it for the Teachers OU.
(This lets Gemini interact with Docs, Drive, and Classroom).

6) Enable Gemini in Classroom

  1. Go to Apps > Google Classroom > Gemini in Classroom.
  2. Make sure it’s enabled for Teachers OU.
  3. Save.

7) Adjust conversation history

  1. In Generative AI > Gemini app > Conversation history, choose retention: 3 / 18 / 36 months.
  2. Set according to school policy.

8) Security & sharing

  • Decide whether teachers can share Gems outside the domain.
  • Review whether Gemini outputs may be stored or used to improve models.

9) Save and wait

  • Changes may take a few minutes up to 24h to propagate.

🔎 TESTING (Teacher account)

  1. Log in as a teacher.
  2. Open Google Classroom → create an assignment/material.
  3. Look for a Gemini/AI suggestions panel (may appear as “AI help”, “Gemini”, or similar).
  4. If missing: check OU membership, age setting, and smart features status.

🐞 Common issues

  • Gemini not showing → Check if the user’s OU is flagged as 18+, if smart features are enabled, and if the Gemini app is ON.
  • Delay → Wait up to 24h or try Incognito mode.
  • Students can’t see Gemini → By design, some Gemini features are 18+ only.
