Do you wanna download all your mail box from your google workspace not depending on your WS admin…. so listen up.
Not one by one, but all of them. Cool. Here’s your guide
🪜 Step-by-step:
- FIRST OF ALL, YOU MUST Go to Google Takeout
👉 Open this link: https://takeout.google.com
That’s Google’s “grab all your stuff” service. - SECONDLY Deselect everything
You’ll see a huge list of all the Google crap you’ve ever used (Photos, Drive, YouTube, etc.).
Click “Deselect all” so you don’t download the entire internet. - YOU MUST Select only Gmail
Scroll down until you find “Mail” (that’s Gmail).
Turn that one ON.
You can also click “All Mail data included” and choose only specific labels if you want — or just keep it all, because who cares. - NOW U ARE READY TO Click “Next step”
That’s the blue button at the bottom. - IT’S TIME TO Choose how you want the file
- Delivery method: “Send download link via email” (easiest)
- Frequency: “Export once”
- File type:
.zip(so your computer can open it) - File size: 2GB or more — if you have lots of emails, pick a bigger size.
- SIMPLY Click on “Create export”
Now Google starts packing all your emails into a big file.
This can take hours or even days if your inbox is huge. Go touch some grass while you wait. - NOW YOU MUST Download the file
You’ll get an email that says something like “Your Google data is ready”.
Open it, click the link, and download the ZIP file. - Open it … installing software or using services from the net (RECOMENDED)
Inside, you’ll find a file called something likeMail.mbox.
That’s your entire inbox in one file.
You can open it using an email program like Thunderbird or an MBOX viewer OR…

What’s inside:
That .mbox file you just downloaded is basically a giant text file full of all your emails — like a huge email sausage. You just need a way to see it nicely, not as chaos.
🪄 OPTION 1: Use an online MBOX viewer (the easy way) BUT TAKE CARE WITH SECURITY OPTIONS
- Go to Google and type:
👉free online MBOX viewer - Pick a site like (there are much more, but I recomend to u..)
- Upload your just downloaded Mail.mbox file
(It might take a while — the file can be huge.) - The website will show your emails — sender, subject, date, message body, everything.
You can click around and read your old stuff like you’re in Gmail.
⚠️ WARNING
AS I PREVIOUSLY TOLD U… if your MBOX file contains private or sensitive emails, don’t upload it to random sites — they could theoretically peek at your stuff.
If privacy matters, use offline software (like Thunderbird or Mailspring) instead.
🧰 OPTION 2: Open it manually (if you’re curious)
If you just want to see the text, you can:
- Right-click the
Mail.mboxfile - Choose Open with → Notepad (Windows) or TextEdit (Mac)
It’ll look like total gibberish, but you can scroll through and see your emails in raw form — subject lines, “From”, “To”, and the message body are all there in plain text.
That’s all, now you can save your mail… 4 EVER (Not depending on your workspace admin)
IMPORTANT…
This export does not delete your Gmail messages — it only creates a copy of them.
Depending on the volume of emails, the process may take hours or even days.
